Reporting to the VP of CA Operations, this position is responsible for providing administrative support and services for the Brea location. This includes welcoming and registering visitors, managing vendor relationships, managing supplies, assisting leaders on special projects, reporting, and preparing for client visits. This position may also assist with various clerical and
organizational duties. The role will be positioned in the front lobby reception
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned
Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel while following appropriate security protocol
Assist all corporate support groups, as needed, including Marketing, Human Resources, Recruiting, Business Development, etc. for any location specific needs
Order and maintain inventory for all Marketing, general office & break room supplies Coordinate distribution of all incoming (hard copy) invoices as well as accounts payable
Arrange and schedule meetings including reserving and setting up conference rooms, catering etc.
Coordinates the repair of office equipment
Prepare reports on a monthly and yearly basis
Assist with client communication
Create and maintain meeting agendas, notes, and action items
Coordinate and process purchase orders
Incorporate process improvements where necessary to create efficiencies
Prepare for client visits: hotel reservations, presentations, handouts, catering, conference room reservations, set-up and clean-up of meeting area
Regular attendance, punctuality and adherence to agreed-upon schedule of availability are conditions of employment and essential function of this position.
Although this position will not have responsibility for direct reports, this position requires active leadership in the way of supporting strategic initiatives as well as active personal development and application of the Six Sigma methodologies.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED) is required. Two year Associate’s Degree preferred.
One to two years administrative or related experience required. Exceptional service-oriented demeanor and a high degree of professionalism is required.
Intermediate to Advanced skills and knowledge in MS Suite; primarily in Word, Excel, PowerPoint and Outlook. SharePoint experience or knowledge is a plus.
Must possess excellent business writing, editing, and proofreading skills in additional to the ability to communicate both orally and in writing.
TECHNOLOGY SKILL BASE
This position requires a working knowledge of computer technology that includes: Intermediate to Advance Word, Excel, PowerPoint and Outlook along with Client and Alta designated software. SharePoint knowledge or experience is a plus. Individuals must possess the ability to learn and understand new software and other technology applications as introduced by the Client and Alta Resources.
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
While performing the duties of this job, the employee is regularly required to sit for up to eight hours, and stand. Manual dexterity which allows the individual to use hands to type on a keyboard, use a mouse and write are required, as is the ability to talk, and hear. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision.
