We address the root causes of homelessness through neighborhood-based affordable housing, economic development, and environmental enhancement programs, as well as through providing access to employment opportunities; adult and youth education; and health care.

Job Summary: The Human Resources Administrative Support serves as the first-line contact for departmental inquiries via phone, email, fax and walk-ins.  Responsible for onboarding new hires & interns, running clearances, scanning and maintain personnel files.  Provides general support for the Human Resources Department, leadership team, and general clerical and administrative support for the department including supply ordering, assisting employees and visitors.

Essential Duties and Responsibilities

HRIS /Recruiting Support

  • Responsible for onboarding New Hires, by creating, and scanning new hire files into the HRIS Data Base.
  • Responsible for processing, FBI/Child Abuse, Patch, HireRight clearances, I-9 documents, 
  • Responsible for full cycle onboarding for Interns including clearances, by working with the Contract & Risk Analyst to ensure that fully executed affiliation agreements are in place.
  • Responsible for keeping Managers up to date with the status of candidates in on-boarding status and any delay in the candidate starting.
  • Maintain New Hire Packets for Orientation and provide support as needed for New Hire Orientation and Trainings.
  • Maintains all personnel documents are up-to-date, in the HRIS System for all Project HOME staff and compile reports as needed. 
  • Responsible for assisting with running the annual Motor Vehicle Reports as needed.
  • Update monthly birthday and anniversary lists.
  • Other duties as assigned

General 

  • Must possess basic knowledge of federal/state employment laws. 
  • Required to have a general understanding of HR practices, laws and regulations. 
  • Must be detail-oriented and able to manage multiple projects and be customer-focused. 
  • Must be able to work with minimal supervision and have the ability to handle confidential information. 
  • Must possess a solid working knowledge of HRIS applications, preferably Ceridian/Dayforce 
  • Must manage time and priorities effectively by completing tasks in a timely manner. 
  • Excellent communication (oral, written, presentation and facilitation) skills. 
  • Must possess and exhibit emotional stability and maturity in the face of stressful situations. 
  • Must be results oriented, customer focused and able to manage multiple projects simultaneously. 
  • Sufficient knowledge of business communications, including telephone, voicemail, and e-mail, and operations of office machines, such as photocopier, scanner, and fax. 
  • Prepare correspondence, including but not limited to letters, memos, meeting minutes and reconcile expense report for Sr. Director of Human Resources.
  • Provide support with verification of employment requests and unemployment claims.
  • Coordinates and assists with HR related event preparations (Staff BBQ/Social Hours).
  • Assist in occasional planning of special HR-related meetings and events.
  • Must develop and maintain courteous and effective working relationships with clients, vendors and/or any other representatives of external organizations.
  • Must be sufficiently adaptable to accept and perform in a timely and effective manner work assignments that are outside the normal (day-to-day) routine.

Customer Support

  • Provides assistance to employees, applicants and vendors.
  • Addresses inquiries related to pay dates and time and attendance Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities.
  • Organizes and maintains file system and files correspondence and other records.
  • Prepares expense reports/purchase orders for processing.
  • All other duties as assigned.

Minimum Qualifications

  • Bachelor’s degree preferred or equivalent education and experience.
  • At least three (3) years human resources experience.  
  • Must possess basic knowledge of federal/state employment laws. 
  • Required to have a general understanding of HR practices, laws and regulations. 
  • Excellent organizational, customer service, presentation/facilitation and communication skills.
  • Ability to use Microsoft Office programs and analytical tools.
  • Excellent oral and written communication skills, attention to detail, strong organizational and customer service orientation are required.
